ColiTrace (“we,” “our,” or “us”) is committed to protecting the privacy of our B2B clients and transport operators. This Privacy Policy outlines how we collect, use, and safeguard data through our tracking software, NFC/IoT hardware, and automated transactional customer notifications (including SMS and WhatsApp Business API updates). ColiTrace is registered with the Dutch Chamber of Commerce (KVK) under number 91217598, with its registered place of business at Hulswitweg 47 G 080, 2031 BG Haarlem, Netherlands.

Data We Collect

We enforce strict data minimization, gathering only the absolute minimum required to safely execute transit logs. We collect only:

  • Full name of the recipient or transport representative.
  • Phone number (strictly for dispatching transactional notifications).
  • Business entity/carrier name.
  • Shipment description (payload weight, designated corridor, and route logs).

How Data is Utilized

Collected details are strictly used to trigger operational notifications (dispatch alerts, hub scans, delivery completions) and to represent active route sheets inside our interactive tracking console demonstration.

Strict Third-Party Ban

We do NOT sell, rent, lease, or share personal or carrier records with any advertising networks, analytical entities, or third-party corporations.

30-Day Automated Purge

To minimize data storage risk, all tracking details, telephone logs, and operational milestones are completely and permanently deleted from our European servers within 30 days of final delivery completion.

WhatsApp Communications & Opt-In Consent

Transport operators and their customers voluntarily provide their WhatsApp phone number as part of using the ColiTrace platform. By providing their number, they consent to receive transactional WhatsApp notifications related to their shipment activity.

Types of Messages Sent

  • Shipment registration confirmation.
  • Departure and in-transit status updates.
  • Arrival at destination notifications.
  • Delivery completion confirmation.

No Marketing Communications

ColiTrace does not send promotional, marketing, or advertising messages via WhatsApp. All messages are strictly transactional and operational in nature, triggered automatically by shipment scan events.

Opt-Out

Recipients can opt out of WhatsApp notifications at any time by replying STOP to any message. Opt-out requests are processed immediately and no further messages are sent.

Data Handling

WhatsApp phone numbers are used solely for dispatching the transactional notifications listed above. They are never sold, shared, or used for any purpose outside of operational shipment updates. Numbers are deleted along with all shipment data within 30 days of delivery completion, consistent with our automated purge policy.
